Privacy Policy

What Orion collects, how AI processing works, how your documents and financial data are protected, who our providers are, and how to delete your data.

1. Overview

JW Innovative Solutions LLC operates The Ultimate Bill Organizer™ (“Orion”). This policy explains what we collect, why, and what control you have. It describes what the product actually does today.

We do not sell your personal or financial information, and we do not share it with advertisers.

2. Information We Collect

Account information

Your email address, authentication credentials (passwords are hashed by our authentication provider — we never see them), display name, sign-in method, and role assignments such as founder/admin access.

Financial information you enter or upload

  • Income sources, pay amounts, and pay schedules.
  • Bills, loans, credit cards, and installment debts — including lender name, balance, APR, minimum payment, due date, and status.
  • Payments and payment history you record in Orion.
  • Goals, emergency fund targets, and savings progress.
  • Transaction-level details you enter or that Orion extracts from documents you upload.

Business information

Business names, business-linked income and expenses, and tax categories you assign, if you use Orion’s business and tax organization features.

Uploaded documents

Statements, bills, receipts, and other files you upload, stored in private storage tied to your account.

Credit reports

If you choose to upload a credit report, we process the account and balance details it contains. Orion masks sensitive identifiers such as Social Security numbers and full account numbers before that content is used in AI analysis or displayed back to you. Orion does not pull your credit and is not a consumer reporting agency.

AI conversations

Your messages to Orion Grant and Orion’s replies, plus a memory of milestones and preferences that keeps guidance consistent over time.

Analytics and technical data

Aggregate product usage (which modules are used and how often), error reports, and standard request data such as timestamps and approximate device/browser type. Founder-only analytics dashboards operate on aggregates and never expose another user’s financial records.

Cookies and local storage

We use cookies and browser storage that are necessary to run the Service — primarily to keep you signed in and to remember interface preferences. We do not use third-party advertising cookies.

3. How We Use Your Information

AI processing

Your data is sent to AI model providers through a secured gateway when you use an AI feature — to extract fields from a document, summarize your position, produce a plan, draft a dispute letter, or answer a chat message. Requests carry only the data needed for that task. Our AI providers process it to return a response and, under our provider terms, do not use it to train their models.

Statement and document extraction

Uploaded documents are read to identify lender, balance, APR, minimum payment, and due dates, which can then populate your bills so you don’t have to type them.

Credit analysis

Credit account data is used to calculate utilization, model the effect of paydowns, suggest action plans, and draft dispute letters for your review.

Tax organization

Business income and expenses are grouped into tax categories to help you prepare for filing. Orion does not file taxes for you.

Mission Control and the Financial Planner

Your bills, income, payments, goals, and business data are aggregated on the server into scores, forecasts, Traffic Light signals, and recommendations shown on your dashboards.

Running the business

  • Authenticating you and securing your account.
  • Processing subscription payments and preventing fraud or abuse.
  • Sending service emails such as account, billing, and security notices.
  • Fixing bugs, monitoring platform health, and improving the product using aggregate usage data.
  • Complying with legal obligations.

4. How We Protect Your Information

  • Encryption in transit (HTTPS/TLS) and encryption at rest for the database and file storage provided by our managed cloud platform.
  • Private document storage — uploaded files are not publicly accessible and are served only through short-lived, authenticated links to their owner.
  • Authentication managed by a dedicated auth provider, with hashed passwords and Google sign-in support.
  • Row Level Security on user data tables, so a request can only reach rows owned by the signed-in account.
  • Role-based access, with founder/admin-only tools kept behind server-side role checks rather than interface hiding.
  • Server-side aggregation, so founder dashboards receive computed metrics rather than other users’ financial rows.
  • Sensitive identifier masking (for example SSNs and full account numbers) in credit workflows.

No system is perfectly secure. We do not claim any formal certification such as SOC 2, ISO 27001, PCI, or HIPAA compliance.

5. Data Retention

  • Account and financial data is kept while your account is open, because the product’s value depends on history.
  • After you delete your account, we remove your personal and financial data and uploaded documents from active systems within 30 days.
  • Encrypted backups may retain copies for up to 90 days before rotating out.
  • We may retain limited records (such as billing and transaction records) longer where law requires.

6. Account Deletion

You can request deletion of your account and data by emailing privacy@ultimatebillorganizer.com from your account email address. Deletion is permanent — export anything you want to keep first using Orion’s export tools.

7. Your Rights

Depending on where you live, you may have rights to access, correct, export, delete, or restrict processing of your personal information, and to object to certain processing. You will not be treated differently for exercising them.

  • Access and export: most of your data is exportable directly in-app (CSV, JSON, or PDF depending on the module).
  • Correction: you can edit your financial records at any time in the app.
  • Deletion: see Account Deletion above.
  • Questions or formal requests: privacy@ultimatebillorganizer.com. We respond within 30 days.

8. Third-Party Providers

We use a small set of vendors to run Orion. They receive only what they need to perform their function, and they are contractually restricted from using it for their own purposes.

  • Managed cloud backend — database, authentication, and private file storage.
  • Application hosting and content delivery — serving the app and its server functions.
  • AI model providers, reached through a secured gateway — document extraction, analysis, and Orion Grant chat. Under our provider terms your data is not used to train their models.
  • Google — only if you choose Google sign-in; Google receives the sign-in request and returns your basic profile.
  • Payment processor — subscription billing and card handling. Card numbers go to the processor, not to us.
  • Email provider — transactional email such as account, billing, and security notices.

We may also disclose information if required by law, to enforce our Terms, or to protect the rights and safety of users and the platform. If Orion is ever acquired, your information may transfer as part of that transaction, and you will be notified.

9. Children’s Privacy

Orion is not intended for anyone under 18. We do not knowingly collect information from children. If we learn that we have, we delete it. Contact privacy@ultimatebillorganizer.com if you believe a child has used the Service.

10. International Users

Orion is operated from the United States and your information is processed and stored there. If you use the Service from outside the U.S., you understand that U.S. privacy law may differ from your local law. We honor access, correction, and deletion requests from all users regardless of location.

11. Changes to This Policy

We update this policy when the product or our providers change. The version, effective date, and last-updated date are shown at the top of this page and past versions appear in the version history. Material changes are announced by email or in-app notice.
